Purchase order

A formal order to a supplier for agreed SKUs, quantities and dates.

Definition

A purchase order (PO) is the document you send a supplier listing SKUs, quantities, prices, currency and expected dates. In replenishment tools, draft POs usually start from suggested quantities rounded to MOQ and case pack.

Worked example

Replenishment suggests 480 units; MOQ 500; case pack 20 → draft PO for 500 units in the supplier’s USD price list, PDF emailed after you confirm.

Why it matters for replenishment

Without POs tied to forecasts, buying becomes chat threads and spreadsheets that never update stock-on-order.

How OmniRestock uses this

OmniRestock creates one draft PO per supplier from approved replenishment lines, in that supplier’s currency, with MOQ and case-pack rounding. Drafts and supplier emails are never sent without your confirmation.

Common questions

Does an open PO change stockout dates?

In OmniRestock, yes — stock on order is counted so you are not told to buy the same units twice.

Can suppliers confirm in-portal?

Yes. There is a supplier portal, and you can also send PDF or CSV.

What currency is on the PO?

Each product’s supplier currency. Multi-currency landed cost is for margin views.

Is a purchase order the same everywhere?

The idea is shared, but formulas and marketplace rules differ. Use the definition on this page for ecommerce replenishment.

Do I need software to track a purchase order?

A spreadsheet works for a few SKUs. Once you have many suppliers or channels, a replenishment tool keeps the numbers current.

Does OmniRestock change my live stock?

Not unless you switch Stock write or Purchase orders on for a connection. Drafts stay drafts until you confirm.
